NeuralFlow AI LLC ("NeuralFlow," "we," "us") operates neuralflowai.io and the tools on it, including ARIA, our AI receptionist. This page explains what information we collect, why, and what we do with it. No legalese walls — if anything here is unclear, email us and a person will answer.
What we collect
- Information you give us — when you chat with ARIA, fill out a contact or booking form, or use the ROI calculator, we collect what you provide: typically your name, email address, phone number, company name, and whatever you write in your messages.
- Booking details — if you book a call, the appointment (your name, email, and chosen time) is created in our Google Calendar and a confirmation is emailed to you.
- Usage analytics — we use Google Analytics (GA4) to understand how visitors use the site: pages viewed, approximate location, device type. GA4 uses cookies. This data is aggregated and does not identify you to us personally.
- Chat conversations — ARIA conversations are processed to respond to you and are retained briefly (about 30 minutes of active memory) to keep the conversation coherent. Lead details you share (like your email) are kept so we can follow up.
What we do with it
- Respond to you, book appointments, and send the confirmations and follow-ups you'd expect.
- Notify our founder (via a private internal alert) when someone books a call or leaves contact details, so you get a fast human response.
- Improve the site and our services.
We do not sell your data. We do not share it with advertisers. We do not use your information for anything unrelated to responding to you and running our business.
Who processes it for us
Like most modern businesses, we rely on a small set of service providers to operate. Each receives only what it needs to do its job:
- Anthropic — powers ARIA's responses. Your chat messages are processed by the Claude API to generate replies.
- Resend — delivers our transactional email (booking confirmations, follow-ups).
- Google — Calendar for appointments; Analytics for site usage.
- Railway — hosts the website and server.
- Telegram — delivers internal lead alerts to our founder only.
How long we keep it
Lead and booking records are kept as long as they're useful for serving you — typically for the duration of our relationship and a reasonable period after. If you want your information deleted, email us and we'll remove it from our records.
Your choices
- Email us at [email protected] to ask what we hold about you, correct it, or have it deleted.
- Cookies — you can block or clear cookies in your browser; the site works without them.
- Don't want to chat with an AI? Email or book a call directly — every path reaches a human.
Security
The site is served over HTTPS, inputs are validated and rate-limited, admin access is authenticated, and lead data is accessible only to our founder. No system is perfectly secure, but we treat your information the way we'd want ours treated.
Children
Our services are for businesses and are not directed at children under 13. We do not knowingly collect information from children.
Changes
If we change this policy, we'll update this page and the date at the top. Material changes will be called out plainly.
